What should be decided before applying?
Describe the publication, its audience and how it will reach readers. Estimate text volume, illustrations, print quantity and digital versions. Identify who will write, approve and coordinate the material.
For projects in Poland, potential sources include public programmes, local authorities and foundations. Availability and eligibility depend on the particular programme. Do not assume that rules from an earlier grant apply to a new application.
What belongs in the budget?
Separate writing, editing, proofreading, typesetting, image work, printing and distribution. Internal contributions still require time and an assigned person. Include transport and any required electronic editions.
If the specification is provisional, request clearly defined alternatives. Confirm eligible expenditure and the treatment of taxes with the funding body or your finance team. My quotation brief guide explains the production information suppliers need.
How should funding credits be prepared?
Send the relevant agreement requirements, approved wording and logo files with the manuscript. Funding acknowledgements are programme-specific. Do not copy a logo arrangement from another organisation's publication.

How should you work back from the deadline?
Distinguish the event date, receipt of printed copies and any relevant invoice, payment and project-end dates. Sending the file to print does not necessarily fulfil the funding agreement. Work back from the actual required result.
Materials. Set a date for the complete approved content. Revisions. Allow time for consolidated feedback. Production. Include printing, binding and transport after approval. What if the budget or scope changes?
Check which changes the funder permits before reducing quantity or changing the publication. A smaller print run may affect the promised distribution. Compare alternatives against the project's purpose as well as the manufacturing price.
Changes after typesetting begins can require additional work. A new page size changes the layout, while different paper can affect the spine. Ask for an updated estimate covering these consequences before approving the revised specification.
What records should be retained?
Use the agreement and reporting instructions to establish the required evidence. This may include invoices, payment records, copies of the publication or acceptance documents. Keep the exact approved version that was printed.
These records will support the grant report, which the organisation submits under its programme rules.
